Get the Basics Right: Your Sending Address Matters

The first step in effective email marketing is setting up your sending address. You need a dedicated email address that aligns with your brand. Bonus points if it’s something personal like your first name or a combination of your name and business name. This little touch adds authenticity—it’s like saying, “Hey, you’re dealing with a real person here.”

Make sure your sending email is authenticated and ready to go. But here’s the kicker: set your “reply-to” email as the one you check most often, like your work email. That way, when someone hits reply, the conversation goes directly to your inbox.

Consistency is Key: Establish a Regular Schedule

One of the biggest challenges in email marketing is consistency. For me, five emails a week—Monday through Friday—hits the sweet spot. I’ve done seven days a week before, but with my workload, five is more manageable while still keeping me top of mind for my audience.

Here’s how I structure my weekly emails:

  • Monday: A newsletter-style roundup featuring new blog posts from the Your Level Fitness and Daryl Perry blogs, along with podcast episodes from both platforms.

  • Tuesday to Friday: Short emails featuring YouTube Shorts (thanks to their new three-minute limit). These emails have a single call to action—watch the video for more insights.

By keeping the content varied but predictable, I meet my audience's expectations without overwhelming them.

The Power of Segmentation

If there’s one game-changer in email marketing, it’s segmentation. Behavior-based segmentation, in particular, helps you focus on the people who are truly interested in your content.

Here’s how I do it:

  • If someone has opened an email in the last three days, they’re included in the segment for the Tuesday, Wednesday, and Thursday emails.

  • If not, they only get the Monday and Friday emails.

This ensures I’m sending frequent content to engaged readers while keeping my less active subscribers from feeling bombarded.

Create Value Beyond the Signup

Many brands offer a flashy freebie to get people to sign up for their email list, only to follow up with mediocre content. Don’t fall into this trap. The quality of your ongoing emails should match—or even exceed—the value of your initial offer.

For example, my onboarding flow includes a 31-day series of emails explaining the foundational approach behind everything I do at Your Level Fitness. This automated flow not only educates my audience but also sets the tone for what they can expect moving forward.

Keep it Simple: Text-Based Emails Work Wonders

In an era of flashy graphics and AI-generated content, plain text emails can be incredibly effective. They feel personal and intimate—like a message from a friend rather than a corporate newsletter.

Want to make it even better? Use tags to customize your emails with the recipient's name. Just make sure everything works properly before you hit send. There’s nothing worse than an email that starts with “Hey [First Name].”
